I am Hoang Hong Viet and today I am writing to report about the problem in the recent souvenir batch for our customer – Cuong’s Company.
As in the terms of our contract with Eleven Company, the souvenir batch would be delivered to their place on September 25th, 2014. I am in charge of supervising the production of this batch. Everything would have been going on track if it had not been for a fault in the size of letters printed on the souvenirs, the size stated in the contract was a little different from the size followed in the production. It was September 15th when I first discovered about this fault, then I instantly made the phone call to the representative of The Eleven Company and asked for their opinions and instructions about this. At this time, the deadline of this batch was coming really close and the production could not be remade due to insufficient amount of time. The representative from Eleven Company has expressed concern about this size fault, however, she said the production should be kept continuing as we were running out of time. Under that requirement, the souvenir batch carrying this fault was still produced as planned. Subsequently, the on-time delivery was made on September 25th, 2014. However, the biggest problem evolved when our customers denied of receiving that phone call as well as knowing about this fault and of giving opinion on this, also. For that reason, they did not accept the souvenir batch delivered.
As also stated in the business contract, the payment will be made altogether on the delivery. Therefore, I suggest that this problem should be resolved shortly for the receipt of money as well as restoring our company’s prestige.
There are some suggestions for solution that I would like to propose. As this fault was from our side, I suggest we play it soft on them and persuade them on accepting this batch. Moreover, the difference in the letter size was not much of a serious problem and it would not be causing them any concerning troubles in the relationship with their partners. Hence, slight discount may be offered on this batch.
